GENERAL TERMS AND CONDITIONS OF BUSINESS ACCOMMODATION AMS ROOMS

AMS Rooms tourist accommodation at Poljanska cesta 6, 1000 Ljubljana, is managed and marketed by Cisterca Ljubljana d.o.o., which rents accommodation in accordance with these General Terms and Conditions:

SIGNING OF THE CONTRACT
A confirmed reservation at AMS Rooms is a commitment, a contract between Cisterca Ljubljana d.o.o. and the guest, the terms of which must be respected by both parties. By confirming the reservation, the guest is considered to have fully accepted these General Terms and Conditions.

PRICES
All prices are in euros (EUR) and include VAT. Tourist tax is not included in the price of accommodation but is charged separately. We reserve the right to change the tourist tax amount in accordance with applicable legislation.

TOURIST TAX
The tourist tax is €3.13 per adult per day and is not included in the price of accommodation. Children up to and including the age of 6 are exempt from paying tourist tax, while children aged 7 to 17 pay 50% of the full tourist tax.

RESERVATION AND PAYMENT
The booking terms and conditions are always clearly displayed before the booking is finalized.
Guests can make a booking independently online or arrange a booking directly with the operator via email.

ONLINE RESERVATIONS
To confirm an online reservation, a valid credit card is required, and the cardholder must also be the person making the reservation. Guests can choose between two options:

  1. Booking with a refund option (“Flexible Rate”)
    Guests may cancel their reservation free of charge up to 72 hours before the scheduled arrival time.
    In the event of cancellation less than 72 hours before arrival or in the event of a no-show, the accommodation reserves the right to charge for the first night’s stay. A guarantee is required to confirm the reservation, specifically a valid credit card—the card will not be charged in advance or without the cardholder’s presence, except in the case of a no-show.
  2. Non-refundable reservation (“Non-refundable price”)
    Subsequent free cancellation or changes to the reservation are not possible—the guest will be charged the full price of the accommodation in any case. For non-refundable reservations, the full amount or price of the accommodation must be paid in advance. The card used for the reservation will be charged the full amount upon confirmation of the reservation. Tourist tax and any additional services are to be paid upon arrival and check-in.

If you have any additional requests or preferences, please let us know before confirming your reservation.
We accept credit and debit cards or cash at the front desk.

DIRECT BOOKINGS (EMAIL, PHONE)
A direct booking is a reservation made directly between the guest and the operator via email, phone, or other communication channels.
The reservation is considered confirmed when the guest receives a written confirmation of the reservation from the operator (e.g., via email) and fulfills any additional conditions specified in the confirmation (e.g., payment of a deposit or the full amount within a specified timeframe).
The terms of payment, cancellation, reservation changes, and other conditions applicable to direct reservations are specified in the reservation confirmation or in an individual agreement between the guest and the operator.
In the event that the terms and conditions stated in the booking confirmation differ from these General Terms and Conditions, the terms and conditions stated in the booking confirmation shall apply.
If the guest fails to meet the conditions (e.g., fails to pay the deposit within the specified time frame), the operator reserves the right to cancel the reservation.
The terms and conditions for direct bookings may differ from those for bookings made through online channels, as they are tailored to the specific offer. In certain cases, they may include more favorable prices or other benefits, but they may also differ regarding cancellation and payment terms.

CANCELLATION OF RESERVATION
Cancellations must be made in writing and in accordance with the selected booking option. Up to 72 hours prior to arrival, cancellations of reservations confirmed with a valid credit card are free of charge—the guest’s credit card used for the reservation will not be charged. In the case of other types of agreements and prepayments, any refund of the prepayment will be processed in accordance with the agreement between the operator and the guest. AMS Rooms reserves the right to cancel a reservation in the event of an invalid card or if payment of the specified amount has not been made by the deadline. AMS Rooms also reserves the right to terminate the contract if it determines that the guest is not respecting the property, other guests, or employees.
In exceptional cases, AMS Rooms and Cisterca Ljubljana d.o.o. may also terminate the contract for a valid reason, e.g., due to force majeure or other circumstances (emergency situations, the necessity to close the accommodation), for which Cisterca Ljubljana d.o.o. is not directly responsible. Payment or non-payment of cancellation fees in extraordinary circumstances depends on the agreements and laws in effect at the time of the force majeure.
AMS Rooms also has the right to change the reservation:
– if the reserved accommodation unit requires urgent, unforeseeable repairs that prevent its normal and safe use;
– if, due to an error, a specific accommodation unit has been double-booked or overbooked for the same time period (“overbooking”).
In this case, AMS Rooms will provide the guest with accommodation in an equivalent unit; if this is not possible, the guest may be accommodated in a higher-priced unit at no additional cost, or in a lower-priced unit, with the price difference refunded. If a room change is not possible, AMS Rooms will make every effort to find equivalent accommodation in the destination at no additional cost or to fully refund the booking costs.
AMS Rooms and Cisterca Ljubljana d.o.o. assume no liability for any inconvenience that may arise due to the guest providing incorrect contact information, which could result, for example, in the guest not receiving timely notification of a reservation change or similar issues.

SPECIAL OFFERS
Special offers are limited in time. The start and end dates of the offer are indicated accordingly when the offer is published. Special offers do not apply to reservations made before the offer was created or after the offer has expired. Offers are valid only under the conditions stated on the website.

PAYMENT AND CANCELLATION OF GROUP RESERVATIONS
A group reservation is considered to be a reservation of five or more rooms at the same time. The reservation is confirmed when you pay a 30% deposit after receiving the offer or proforma invoice. The deposit is non-refundable and will not be returned in case of cancellation or no-show.
The remaining 70% of the total amount agreed upon confirmation of the reservation must be paid no later than 14 days prior to arrival, otherwise the reservation is not valid.
Cancellations and changes to group reservations are possible up to 14 days prior to arrival. In case of cancellation of a group reservation more than 14 days prior to arrival and if the prepayment of the remaining 70% of the total amount has already been made, this part of the amount (70% of the total amount) will be refunded.

CHECK-IN
Check-in is available from 3:00 PM to 7:00 PM. The front desk is open until 8:00 PM. Please let us know your arrival time at least 12 hours before check-in. Check-in for unannounced guests may take a little longer.
Early check-in is possible by prior arrangement, subject to room availability and for an additional fee of 10 EUR per hour. Early check-ins are not possible during peak season.
Upon arrival, our guests have access to a small storage room for short-term luggage storage as part of their accommodation.
Upon arrival, guests are required to register with the official authorities of the Republic of Slovenia. All guests staying in AMS Rooms will be required to present a valid ID card or passport at check-in. These documents must be valid at the time of the guest’s arrival and departure from the accommodation. Every guest is required to have a valid ID and be registered. If a guest is a minor, they must check in accompanied by an adult who is responsible for the minor.
In the event of arrival after 7:00 PM, the reception must be notified of this no later than 3:00 PM on the day of arrival. In this case, please send us the necessary guest registration information (first and last name, date of birth, nationality, type and number of identification document) along with your late arrival notification. The following information is required from all guests staying at AMS Rooms: first and last name, type and number of identification document, date of birth, nationality, and arrival and departure dates. If you arrive after 7:00 PM, we will leave the key to access the premises at the agreed-upon location; however, we ask that you complete the official check-in at the front desk the following morning, no later than 10:00 AM.
The owner reserves the right to refuse entry to individuals or to turn away an entire group if the number of people exceeds the number specified in the booking confirmation.

SECURITY DEPOSIT
A security deposit of 100 EUR per room is charged upon check-in. If no damage or evidence of smoking is found in the room at or after check-out, the security deposit will be fully refunded to the guest.
LATE ARRIVAL
If the presence of a receptionist is absolutely necessary after 8:00 p.m. at the guest’s request or for reasons attributable to the guest (e.g., a guest’s arrival after 7:00 p.m. that was not announced in advance, additional requests that were not communicated in advance, or other similar reasons), the receptionist’s presence will be charged at a rate of 15 EUR per hour.

In the event of a lost key, a replacement fee may be charged.
Upon check-in, guests will receive the following information:
– all necessary information and rules regarding their stay at the property, which guests must observe;
– a key that opens the front door and the door to the accommodation unit;
– Wi-Fi access details;
– other necessary information.
For any additional information, the front desk is available during its operating hours, from 8:00 AM to 8:00 PM.

EXTRA BED AND CHILDREN
The maximum number of persons in an accommodation unit is equal to the number of beds. Only children up to and including 6 years of age (6.99 years) who sleep in a bed with their parents can stay as an additional person in the room as part of the basic room layout and at no extra charge.
An extra bed or cot is available upon prior request, based on availability and at an additional cost.

PEACE AND QUIET
We ask all guests to ensure peace and quiet between 10 p.m. and 7 a.m. in all AMS Rooms areas.

CLEANLINESS AND ORDER
Guests are required to maintain order and cleanliness in common areas and in their accommodation units.
If you are staying at AMS Rooms for six nights or more, your room will be cleaned and your bed linen and towels changed every fourth day. If guests’ belongings are on the floor, we will not move or tidy them away, but will tidy the unit as far as possible.
Early towel changes are available at the reception desk. We kindly ask our guests to be environmentally conscious, as reducing water and detergents consumption helps us protect nature and lower environmental protection costs.
During your stay, early room cleaning is available for a fee of 20 EUR. You can order this service at the reception desk for the following day.

SMOKING
Smoking is strictly prohibited on the grounds of AMS Rooms.
Smoking is permitted in the courtyard of the building, but cigarette butts must be extinguished and disposed of in the outdoor bins provided for this purpose.
The penalty for smoking on the grounds and in the accommodation units of AMS Rooms is 100 EUR.
In addition to the above-mentioned amount, any damage will be charged additionally, and AMS Rooms reserves the right to terminate the guest’s stay prematurely in case of violation of this warning.
If additional services are required in this regard, AMS Rooms has the right to charge an additional amount to cover the costs of cleaning, refreshing, and ventilating the room.
In the event of intervention by the fire department due to smoking, the guest is obliged to pay all costs related to this, as well as any damage to the accommodation unit and the facility.

PETS
Pets are not allowed in AMS Rooms.

DOORS AND SECURITY
For the safety of persons and property, guests are required to close all entrance doors and lock the doors to their accommodation units upon each arrival and departure, especially at night, as this reduces the possibility of theft and other undesirable situations.

RIGHT OF ENTRY
In the event of urgent maintenance work or urgent inspection, AMS Rooms reserves the right to allow the accommodation facility manager and/or maintenance personnel to enter the room.

COMPLAINTS
All complaints and claims must be submitted at the reception desk during your stay. We do not accept any complaints submitted after your stay.

CHECK-OUT
Check-out is possible from 8:00 a.m. to 10:00 a.m. Rooms must be left by 10:00 a.m. at the latest.
In case of early departure, check-out is required no later than one day before departure and during the receptionist’s working hours.
Check-out after 10:00 a.m. is possible by prior arrangement, depending on the availability of accommodation units and for an additional fee of 10 EUR per hour. Late check-outs are not possible during the high season.
Upon departure, our guests have access to a small storage room for short-term luggage storage as part of their accommodation.

LIMITATION OF LIABILITY AND DAMAGES
Cisterca Ljubljana d.o.o. guarantees its contractual obligations with the diligence of an honest trader.
Cisterca Ljubljana d.o.o. is not liable for any direct or indirect loss or damage to guests’ property or personal injury occurring in any way during their stay at AMS Rooms, except for personal injury to guests resulting directly from gross negligence on the part of the company. The company’s total liability for damages shall not exceed the reservation value. Nothing in the contract or any other document related to it shall constitute an exclusion of liability for death or personal injury caused by the company’s gross negligence or liability for fraud or misrepresentation.
AMS Rooms and Cisterca Ljubljana d.o.o. are not responsible for the theft of guests’ personal belongings, valuables, and documents from their rooms and means of transport. Guests may store valuable or important property in the safe at the reception desk. AMS Rooms and Cisterca Ljubljana d.o.o. are also not responsible for forgotten items.
If a malfunction or damage occurs during your stay, AMS Rooms staff will endeavor to remedy it as soon as possible, and guests are obliged to contribute to resolving the malfunction or minimizing the damage.
The common areas of AMS Rooms (courtyard, corridors, etc.) and the surrounding area are under video surveillance.
Guests must use all equipment in the common areas and in the accommodation unit in accordance with the instructions for safe use.
If a guest causes damage anywhere in the AMS Rooms accommodation facility or on its outdoor premises, they are fully responsible for it, and AMS Rooms and Cisterca Ljubljana d.o.o. decline all responsibility for any damage that the guest may suffer in such a case. The guest is responsible for damage caused by their fault or the fault of those for whom they are responsible and those who visit them.
In the event of loss or damage to installations, furniture, appliances, or other room equipment, the guest is obliged to notify the staff as soon as possible by calling 00386 31 374 043.
In the event of a breach of house rules or damage to property, AMS Rooms reserves the right to prohibit entry, remove guests from the accommodation, and claim compensation for any damage caused. AMS Rooms and Cisterca Ljubljana d.o.o. reserve the right, and the guest authorizes them, to charge his credit or debit card for any damage or stolen items.

PERSONAL DATA
All data obtained about guests is protected in accordance with applicable legislation (EU General Data Protection Regulation (GDPR) and ZVOP-2, Official Gazette of the Republic of Slovenia, No. 163/22). By accepting the offer, the guest agrees to the use of this data for statistical processing and notification of offers. If the guest does not wish this, they can state this when registering, which does not apply to the legally prescribed transfer of personal data to the official authorities of the Republic of Slovenia.

LIMITATION OF LIABILITY IN RELATION TO THE USE OF THE WEBSITE
